iMedDoc Frequently Asked Questions

About Imeddoc

What is iMedDoc?

iMedDoc is a cloud-based practice management system built specifically for healthcare practices in the UK and Ireland. Bring together patient records, appointment scheduling, clinical documentation, billing, and Healthcode EDI integration & more into a single, secure platform. By using iMedDoc, your practice runs without the friction of switching between systems for different routine tasks.

iMedDoc handles everything from the first patient booking through to payment, giving you and your team complete visibility and control.

We’re the only medical practice management software provider who are backed by 25 years of experience developing alongside UK and Irish private consultants.

Is iMedDoc cloud-based or on-premise software?

iMedDoc is entirely cloud-based, accessed securely through any web browser, meaning that there is no software to install or maintain. Your practice data is hosted on Amazon Web Services (AWS) in the UK, providing reliable, encrypted access from any device; whether in clinic, in theatre, or on the move.

What is private practice management software?

Private practice management software is a dedicated digital platform that centralises the clinical and operational work of running a private medical practice. Rather than managing appointments in one place, patient records in another, and billing somewhere else entirely, a practice management system consolidates everything into a single, secure hub.

iMedDoc is built specifically around the workflows of private consultants in the UK and Ireland, not adapted from a generic healthcare or GP system.

Which specialities does iMedDoc work for?

iMedDoc works across all medical specialities. The platform is designed to be configured to your specific clinical workflow. Whether that means SOAP notes and clinical correspondence for a surgical practice, before-and-after imagery for dermatology, video consultations, or integration with external lab results.

If your specialty has specific documentation or workflow requirements, iMedDoc can be configured to how you work best.

Does iMedDoc work for multi-site practices?

Yes. iMedDoc supports multi-site and group practices. Clinicians can switch between locations within a single system whilst patient records, diaries, and documentation remain consistent and up to date across all sites.

In a group practice setup, each consultant manages their own patients and diary independently while sharing a centralised platform, providing you both autonomy and operational coherence.

Does iMedDoc integrate with Healthcode, Xero or other tools I already use?

iMedDoc integrates directly with Healthcode for EDI billing and with Xero for accounting. Both are one-way integrations: records created in iMedDoc are pushed through to the connected system automatically.

iMedDoc also supports email integration, allowing your team to communicate with patients from your existing email account.

If you need an integration configured, the support team will handle the setup.

Which insurance companies do iMedDoc support for EDI billing?

EDI billing in iMedDoc connects directly to Healthcode, meaning any insurer supported by Healthcode can be billed via EDI.

This includes: AXA, Bupa, Bupa Global, Aviva, Cigna International, AIG, The Exeter, Healix, WPA, Alliance Health, Allianz Worldwide Care, and Trust in Health, among others.

If you work with a specific insurer, our support team can confirm coverage.

Is there a mobile app?

Yes. iMedDoc is available on iOS and Android, with a mobile optimised interface that gives you access to patient records, clinic and theatre schedules, SOAP notes, dictations, and scanned documents on the go. Surgeons can dictate operation notes immediately after a procedure and attach handwritten notes or radiology reports directly from a mobile or tablet.

The desktop system provides the full range of functionality; the app is optimised for clinical access and documentation in the field.

How much does iMedDoc cost?

Pricing for iMedDoc starts from £79 per month for a single clinician on our Solo plan and £99 per month for a single clinician on our Pro plan. Our pricing scales with the size and configuration of your practice. For a detailed quote tailored to your setup, contact our sales team.

Is there a minimum contract length?

A standard contract length for iMedDoc is 12 months.

How long does implementation take?

If you are a new practice or are not migrating data from an existing system, iMedDoc can be set up and live within one to two weeks (including configuration of templates, schedules, fees, and integrations).

If you are migrating data from a current system, the process takes four to six weeks to ensure data quality and integrity throughout the transfer.

Our implementation team will be able to provide accurate timelines for implementation prior to starting the process.

Can I migrate data from my current system?

Yes. Our team manages the migration process on your behalf, transferring patient records and data from your existing system to iMedDoc. Migrations are handled with full data quality checks. Let the team know at the outset and they will coordinate the process with you.

What’s the onboarding process?

Every new customer will receive onboarding that’s handled by our installation team and structured around getting your system configured correctly before you go live. This includes setting up letter and invoice templates, diary structures, fee schedules, and any required integrations. When the system is configured and signed off, training is delivered on your go-live date so your team is confident using iMedDoc from day one.

What training is provided?

Training is provided to all users at the point of going live. Sessions run from two to five hours depending on the size of your practice and how you use the system. Training covers the full scope of your configured setup, so your team is equipped to use iMedDoc from the first day.

What support will I get?

iMedDoc’s Customer Success team is available Monday to Friday, 8am to 5:30pm, by phone or email. Support is ongoing and not limited to the onboarding period.

You can reach the team at [email protected] or +44 20 3740 7859.

If you’re based in Ireland, please email imeddoc-[email protected] or call +353 21 2427470
